How to Track Which Marketing Channels Actually Generate Conference Registrations
A simple, practical guide to understanding attribution, UTMs, campaign IDs, partner links, promo codes, offline tracking and the reports that show what's actually working.
You promoted your conference through email. You ran Facebook and Instagram ads. Your speakers shared it. A partner association emailed their members. Someone saw a printed ad. Someone else scanned a QR code. And 843 people registered. Great. Now… where did they actually come from?

REGISTRATIONS
We got 843 registrations.
We know where 781 of those registrations came from.
That's the difference between a result and intelligence.
Most event marketing reports tell you what happened on each platform. Facebook tells you how many clicks you got. Email tells you who opened. Instagram shows reach. Your website shows traffic.
But the question your event team actually needs answered is: which of those things generated registrations? And if we want to go one step further: which generated people who actually attended?
That's where attribution comes in. And despite the intimidating name, the idea is surprisingly simple. We're just leaving little clues behind so that when someone registers, we have a better chance of understanding how they got there.
Good tracking is less about collecting more data. It's about making sure the clues exist before you launch.
01
“843 Registrations” Is a Result. “Where They Came From” Is Intelligence.
One number tells you the outcome. The other tells you what to do next year.

Questions the right-hand column can answer
- Where should we spend more next year?
- Which channel generated the most registrations?
- Which channel generated the best attendance?
- Which partner actually performed?
- Which campaign should we repeat?
Both reports tell you how many people registered. Only one helps you decide what to do next.

Let's Follow One Doctor
Attribution makes a lot more sense when you stop thinking in channels and start thinking in people. So let's follow one registration from the first ad to the check-in desk.

Your Email Links Shouldn't All Look the Same Behind the Scenes
If every email is simply labeled “email,” you'll know email generated registrations. But you won't know WHICH email did it.

Don't Stop at Cost Per Registration
If tracking stops at the registration form, you're optimizing for forms. When registration data connects with attendance, you can start asking a much better question: which campaign generated people who actually showed up?

Which campaign actually brought the better audience?
Cheap registrations are not always good registrations.

Speakers, Partners and Affiliates Can Be Trackable Too
Your speakers and partners are often part of the marketing engine. So let's stop guessing who actually drove registrations.

Promo Codes Are More Than Discounts
Promo codes don't have to exist only to lower the price. They can also become attribution clues.

EXAMPLE NUMBER
This phone number appears only in this campaign. Calls can still reach the same event team. But because this number exists specifically for the journal placement, calls to it tell us something about where the interest came from.
Now the report doesn't say:
“We ran a journal ad.”
It can say:
“This journal placement influenced 8 attendees.”
UNIQUE QR CODES
Each code goes to the same registration destination. Each one carries a different identifier.

Should You Still Ask “How Did You Hear About Us?”
Yes. But don't make it your only tracking strategy.
Self-reported answers capture what a person remembers and what influenced them emotionally. The technical trail captures the path their clicks actually took. Neither one is complete on its own, and neither one is perfect.
HOW DID YOU HEAR ABOUT US?

From “Marketing Report” to Conference Intelligence
Here's what the end-of-event view can look like when the clues were designed in from the start.
ILLUSTRATIVE DATA
- Which channel generated the MOST registrations?
- Which generated the CHEAPEST registrations?
- Which generated attendees MOST LIKELY TO SHOW UP?
- Which generated the MOST REVENUE?
Those are four different questions.
When someone asks: “What's our best marketing channel?” the right response might be:
Best at what?
BEHIND THE SCENES 🔎
That QR code on your poster? It can tell us something.
That phone number in your journal ad? It can tell us something.
That link your speaker shared? It can tell us something.
That promo code your partner gave out? Yep. That too.
The trick isn't collecting more data. It's designing the campaign so the clues exist before you launch it.

FROM CAMPAIGNS TO DECISIONS
You Don't Need More Marketing Data. You Need the Data to Tell You What to Do Next.
I help medical associations, scientific societies and event teams connect the dots between campaigns, registrations, partners, offline promotions and attendance.
So instead of ending your conference with “Facebook got good engagement,” you can answer: what generated registrations? What generated attendees? What generated revenue? And where should we invest next time?
